How often are drivers asked to complete a medical questionnaire?

Right, let's talk about driver medical questionnaires – a crucial bit of compliance that DDIR makes a breeze.

Drivers are asked to complete a medical questionnaire once per defined interval. The default is 365 days, but you're in control here: you can tweak this anywhere from 90 to 1825 days. You'll find this setting in Company Settings under Medical Assessment.

Heads up — the system does its checks every night at 02:00 UTC to see who's due.

How the System Handles Reminders

Once a driver's due, the system kicks off a clear process to ensure they complete it:

  1. Day 0 — The medical questionnaire is emailed to the driver.
  2. Day 7 (if no completion yet) — A first reminder email goes out.
  3. Day 14 (still no completion) — This is the final reminder, and an alert will pop up on your Manager Dashboard.
  4. Day 21 — The original link expires, the assessment is marked as expired, and a fresh assessment with a new link is automatically issued. Nothing to it.

Quick one — once a driver completes their assessment, their next due date is automatically calculated as today + your set cadence days. This means they won't be bothered again until their next cycle rolls around.

First Assessments for New Drivers

For new drivers joining your team, their first questionnaire is sent out 7 days after onboarding. This isn't an oversight; it's by design. This delay aligns with the Equality Act 2010 guidance, ensuring the questionnaire goes out post-appointment, never pre-offer.

Need an Ad-Hoc Check?

Sometimes, you need a driver to complete an assessment outside the usual schedule. Maybe they've been off for a while, had an incident, or shared a new diagnosis with you. No problem. You can send an ad-hoc assessment to any driver directly from their Medical tab whenever you need to.
