This isn't just about ticking boxes; it's a tiered system designed to track your drivers' medical fitness. It supports your duties under the Road Transport (Working Time) Regulations 2005, DVLA Group 2 medical standards, and what the Senior Traffic Commissioner expects from every operator licence holder. Fire prevention beats fire fighting here.
We've got three tiers, so you can pick what fits your operation best:
- Tier A: This is your baseline. It's purely for tracking D4 certificate details – issue, expiry, and who examined them. Simple, effective, and a good starting point.
- Tier B: A step up. You still track the D4, but we add an annual short self-declaration questionnaire, pinged straight to the driver's inbox.
- Tier C: The full Monty. This includes the D4 and a comprehensive Group 2 questionnaire covering eight key clinical categories: cardiovascular, diabetes, neurological, sleep, vision, mental health, substance, and musculoskeletal. This is the one auditors love to see if you want to go deep.
Choosing Your Tier
Picking your tier is nothing to it. Head over to Company Settings, then hit Medical Assessment. Tier A is the default, and honestly, most operators start there and scale up as needed.
Heads Up: Data Privacy (GDPR)
Heads up — if you go for Tier B or C, we're dealing with health data, which is 'special category' under UK GDPR. So, you'll need to acknowledge a DPIA (Data Protection Impact Assessment) and an Appropriate Policy Document. This is crucial for compliance.
Don't worry about sensitive info floating around. Raw clinical answers are only visible to users you specifically designate as Medical Reviewers. Your regular managers and TMs will only see the outcome: 'fit', 'fit with adjustments', 'needs review', or 'not fit'. Keeps everything tidy and compliant.
